2. Contact Me...
If you are interested in signing up but desire more information or the opportunity to discuss your options, simply fill out the Contact Me questionnaire in the Sign Up section.
3. Waiting time...
Once your questionnaire is received, it is submitted to all the GDSs for approval. Their response time is usually between 3-5 working days. Once approved the GDSs provide us with property listing codes for your hotel and your reservation processing begins.
4. Switch Letter...
If your hotel is currently represented by another company or chain, you will need to submit a "Switch letter" authorizing ReservHOTEL to represent you. The letter must be submitted on your hotel letterhead and signed. To assist you in preparing this letter we have included a sample switch letter for your reference.
5. Notification & Data Input...
As soon as we receive your new hotel codes from the GDS, we will send you the following information in email and via standard mail.
- Your password to enter our "member service" area. This will allow you to access our "Control Panel " area of our website to update your property information, load rates and open your property availability.
- The GDS codes for your property
- Your property FastLink code
Property Information: Your first step is to complete your hotel information.
This section has approximately 25 pages, all of which must be completed to ensure that your property is viewable in the electronic distribution channels.
You begin with the General Information page and the airport/location information. The airport/location information section is important because it helps to establish your hotel location through the use of Geocoding.
Next, there are several additional pages such as Payment options, Cancellation Policy and minimum stay policy. Be sure to complete all the screens in this section. Also, be sure to check your spelling and grammar. Your information will be viewable by thousands of worldwide travel agents and consumers via the electronic distribution channels. Also included in the property information section are pages to establish your room types and rates. The room and rate form very important and must to be completed as follows:
- Select a type of room that applies to your hotel (just click once)
- Type the maximum number of persons allowed in this room
- Type the maximum number of adults and children allowed in this room
- Click "Save"
- Repeat previous steps for your all other room types
- Once you are finished then click "Next"
After completing your room type information, your next step is to load your room rates. You begin by selecting the rate type.
Next, select the "new period" link to establish the duration of the rates you are entering. The following screen will appear.
Select validity dates and fill in the applicable rates. Indicate if the rates are weekday (standard) or weekend rates and click "save". Note that when you see an asterisk (*), the information is mandatory.
Availability: The last page to fill out is the availability section. This information will determine the dates your property is open or closed to receive reservations. Please refer to "Member Service" Availability section of this manual to learn how to fill this form.
Notification: Once you have input your property information, rates and availability, we automatically transmit this information to all GDS and Internet travel distribution sites. We will notify you once your property is implemented in all systems worldwide.
6. RH Codes & FastLink®...
Your GDS codes will look something like this:
- WS-666 Worldspan
- SA-19364 Sabre
- AM-XXX666 Amadeus
- AP-555 Apollo/Galileo
- RH-666 ReservHOTEL own code
We suggest that you use these codes in all of your promotional material, to help travel agents locate your hotel easily. Your web developer can link your reservation form to our dynamic interactive reservation form. Please see "Fast Link®" to see how you can use this service.
7. Perot Travel Agency Commission Service...
As a ReservHOTEL Member Hotel, you are eligible for participation in the Perot Travel Agency Commission Service. Participation is easy, simply complete the Perot agreement and send it to Perot. ReservHOTEL simply acts only as a liaison between your hotel and Perot by sending the monthly commission report to Perot. Payments, terms and conditions, etc. are between your hotel and Perot.
Once the contract is signed, ReservHotel will display a report in the "Member Services" area which allows you to update no-shows and adjust shorter or longer stays. Then each month we send Perot the updated list of actual reservations. Your commission report looks like this; 
Simply check the selection box and the following screen will pop-up enabling you to make any update. 
You can also add in commissionable reservations received directly at your hotel. Once you have modified and added all commissionable data, click "rectify", to revise the report before it is sent to Perot. Lastly, you click "Send Report". A new screen will show you the amount of your Perot invoice.
8. ReservHOTEL Commission Payment...
We highly recommend you pay ReservHOTEL commissions online as well. It is just as easy as paying your Travel Agent Commissions through Perot. The invoice is sent the first day of the month by email and will include all reservations with departure dates from the previous month. The hotel has 15 days to rectify this invoice, through our "commission report" similar to the Perot report. Once the hotel updates all no-shows and adjusts shorter and longer stays, ReservHOTEL will automatically send a rectified report by email. There is no need to manually write adjustments on our invoice. ReservHOTEL accepts payments via the following methods:
- American Express, VISA, Mastercard, or Discovery
- Checks drafted on US or Canadian Banks.
